Privacy Policy
ISW Check-In is an internal app used by the staff of It's a Sensory World ("ISW", "the school") to record student arrivals and recurring classroom safety checks during the school day. This policy explains what the app handles, why, and how it is protected. It is written for the staff who use the app and for the families of students whose attendance it records.
Who the app is for
ISW Check-In is only available to ISW staff whose email address has been added to the school's staff roster by an ISW administrator. It is not offered to students, parents, or the public, and it is not directed at children.
Information the app handles
About staff
- Your name, work email address, and role (teacher or administrator), as entered on the school roster.
- A sign-in session for your device. Sign-in is by a one-time code sent to your work email — there is no password.
About students
- First name, an optional last initial, an optional nickname, and brief operational notes entered by the school. The app does not store students' full last names, photos, addresses, birthdates, or medical information.
- Classroom enrollment.
- Attendance records: whether a student arrived, the arrival time, absences and the reason category, and the results of each scheduled safety check (present, left, returning, or not located), together with the time and the staff member who recorded it.
What the app does not collect
No location data, photos, contacts, advertising identifiers, or analytics. There are no third-party advertising or tracking tools in the app.
How information is used
Solely to run the school's attendance and safety-check process: showing teachers who is expected in their room, reminding them when a check is due, letting administrators see every classroom, keeping an audit trail of corrections, and producing attendance reports for the school's records system. Nothing is used for marketing, sold, or shared for any other purpose.
Where information is stored and who can see it
- Records are stored in a database hosted by Supabase. Data is encrypted in transit and at rest.
- Access is enforced in the database itself: a teacher can only see the classroom(s) they are assigned to; administrators can see the whole school. Records are append-only — a correction adds a new entry rather than erasing the original, so the history stays intact.
- Sign-in codes are delivered by our email provider. It receives only the recipient's email address and the code.
- Checks recorded while a device is offline are held on that device until it reconnects, then saved to the school's records.
- Reminders are scheduled on the device and never contain a student's name. If you use Face ID or a passcode to unlock the app, that is handled by iOS on your device — the app never receives biometric data.
- Apple receives the information needed to distribute the app through the App Store and TestFlight, under Apple's own privacy policy.
Retention and deletion
Attendance and safety-check records are part of the school's student records and are retained according to ISW's records policy. When a staff member leaves, their account is deactivated and their name remains on the records they created, for accountability. Requests to correct or delete information should be made to ISW using the contact below; the school decides how such requests are handled under the laws that apply to its student records.
Children's information
The app is not used by children and does not knowingly collect information from them. The limited student information it holds is entered and controlled by the school as part of its own records, in the same way the school's paper roster sheets were. ISW is responsible for any notices to families that its student-records obligations require.
Changes
If this policy changes in a meaningful way, the date above will be updated and ISW staff will be told in the app or by email.
